Hello everyone,
We're excited to announce an upcoming system update to enhance our invoicing capabilities. This update allows us to invoice clients using our existing accounting products but with more flexibility in rates and headcounts/units. These variations will be determined by specific plan codes or groups of plan codes, enabling users to easily manage different rates and their corresponding plan codes in a more organized manner.
Key Changes:
- UI Enhancements: Users will notice several UI changes, the most notable being the new 'Product Grouping' section added to plan years. This feature will update and replace the current product section, offering new functionality for tracking active products, their rates, and associated groupings.

New Features for Ease of Use: We've introduced several 'ease of life' features to simplify navigation within product setup:
- 'Active Only' checkbox: Displays only active products for all groupings.
- 'Expand All' button: Expands all columns for better visibility.
- 'Collapse All' button: Collapses all columns for a concise view.
- Product Cloning: A new button for cloning grouping products, details of which will be shared later.
Product logic remains unchanged; we've enhanced it with new grouping associations. With that being said, let's go over some of the new features and the UI changes that will be implemented with this change.
How to add a Product Grouping:
- On the plan year page, you will notice a new section on the top header called grouping. Click on it.
- Once you click the button, you will notice that a grouping has already been added. This is a default grouping that will appear for all plan years come December 7th, when this project is pushed to production.
- You can notice that the 'Group Billing' field is already checked. This simply indicates that this is the grouping that would be used for patients who don't have a plan code associated with their eligibility. Users will have the ability to choose/change which grouping will be the “Group Billing” grouping, but only one grouping can have this checked at a time since it can get a bit confusing if multiple groupings have this checked. Lastly, if a grouping is marked as the ‘Group Billing” grouping, then users cannot add plan codes since this grouping is for patients who don’t have plan codes associated with other groupings.

- To add a new grouping, click the green plus button at the top right-hand corner.
- Once you click the green, the pop-up below will appear. From this pop-up, you will have the ability to add a grouping name, a description(describing the grouping), and a fee schedule if you don’t want to inherit the rates from the payor. You will also be able to choose if you want the grouping to be the group billing grouping, and lastly, you can also add plan codes.
- To add a bit more detail to the plan code section, users must save the new grouping at least one time before adding a plan code. After saving, you can then add or import plan codes without issue. Lastly, a plan code can only belong to one grouping and not multiple.

The headcounts section has also been updated to mesh with adding groupings, so let's go over that briefly, as well.
Reimbursements:
The reimbursements section has been updated to include groupings now. This enhancement allows users to see which grouping a product is associated with, aligning with the layout of the product section in the plan year. For additional clarity, we have also updated the product dropdown to display these groupings.
Headcounts:
Upon accessing the headcounts page (available on multiple pages), you will observe that the 'Product by Headcounts' section has been removed. In its place, we have introduced a new 'Groupings' dropdown. This feature enables users to add employee and member headcounts for the specific grouping they view. It also automatically incorporates headcounts for patients with plan codes linked to that particular grouping.
Invoices:
In the invoices section, we have made significant updates. The invoice product section now displays the grouping to which each product is connected. This change aims to provide brevity for our users, enabling them to quickly identify and track the appropriate product based on its grouping. Additionally, when adding or selecting products in the invoice payments section, the associated grouping will be visible.
Fee Schedules:
Fee schedules have undergone a revision. With the new changes, the Fee Schedule usage pop-up will now display not only the plan year but also the grouping connected to each fee schedule. This adjustment is because a plan year can now have multiple fee schedules, one for each product grouping.
Group Renewal Price Lists:
Group renewals have been updated to be organized based on groupings. This new arrangement ensures that users can easily locate products related to a specific grouping without having to sift through extensive columns of data. The header at the top of each block will indicate the grouping to which the products belong.
Account Product dropdown on Cases/Call Logs:
The account product dropdown for most entities has also been updated to display the product's grouping. This update impacts the Call Logs (account products dropdown), HBA, UR, and CMDM cases, enhancing the user experience in navigating and selecting relevant products.
